Job Overview
We are seeking an organized, dependable, and motivated HR & Accounting Administrative Assistant to join our growing team. This is an entry-level position that will primarily support human resources while also handling accounts payable, invoicing, payroll support, vendor setup, supply ordering, and general administrative duties.
The position reports directly to the Controller.
ResponsibilitiesHuman Resources
- Assist with interview scheduling, and applicant communication.
- Prepare offer letters and new-hire paperwork.
- Coordinate onboarding, background checks, drug screenings, and employee orientation.
- Maintain employee files, certifications, licenses, and required documents.
- Enter and update employee information in payroll and company systems.
- Assist employees with routine payroll, benefits, and policy questions.
- Support employee reviews, corrective-action documentation, and offboarding.
- Maintain confidentiality of employee and payroll information.
Payroll and Accounting
- Review employee time records and assist with payroll processing.
- Enter and process vendor bills and accounts payable.
- Match invoices to purchase orders, receipts, and job information.
- Communicate with vendors regarding invoices, statements, credits, and payments.
- Prepare and send customer invoices.
- Send customer statements and payment reminders.
- Assist with applying customer payments and resolving billing discrepancies.
- Maintain organized accounting and payment documentation.
Administrative Support
- Set up and maintain vendor records.
- Collect W-9s, insurance certificates, and other vendor documents.
- Order office, safety, and operational supplies.
- Assist with filing, scanning, data entry, reports, and document organization.
- Provide administrative support to the Controller and management team.
- Perform other HR, accounting, and office support duties as assigned.

Qualifications
- Previous administrative, HR, payroll, accounts payable, invoicing, collections, or customer service experience is helpful but not required.
- Strong organization and attention to detail.
- Professional written and verbal communication.
- Ability to handle confidential information.
- Basic computer skills, including Microsoft Office.
- QuickBooks or payroll software experience is preferred but not required.
- Reliable attendance and punctuality.
- Willingness to learn and accept feedback.
