Amen Real Estate is a fast-growing real estate team and coaching platform in Sacramento - and we need an Executive Operations Coordinator who can be our in-office backbone. You’ll work directly with our CEO and CMO, support our agents, and own the systems that keep this team moving.
This is the only in-office role on our team. Everyone else is remote. That means your contribution is visible, your ownership is real, and the growth path is clear — this role is built to evolve into an Executive Assistant or Operations Manager for the right person.

What You’ll Do
Your day spans four main areas:
Listings & Transaction Support
- Own listing coordination in MLS (Metrolist) from input to close
- Manage signage, Supra boxes, flyer boxes, open houses, and broker events
- Support our remote Transaction Coordinator (Mackenzie) through Sisu automations
- Meet inspectors, assist with walkthroughs, handle key delivery
- Complete AVIDs and coordinate with agents on file requirements
Technology & Systems
- Be the team’s point person for our full tech stack: ClickUp (your primary task tool), Sisu, Follow Up Boss, HighLevel, Rezen, RealScout, AgentFire, Shilo.ai, Slack, and more
- Build and document SOPs and Looms for every process that doesn’t have one
- Support CRM organization, lead verification, and database accuracy
SOAR Community & Coaching Platform
- Manage the backend of our Skool community and Amen Connect coaching platform
- Coordinate member onboarding, content uploads, and training resources
- Support SOAR events and ensure a professional member experience
Past Client Marketing
- Execute email, text, postcard, and call campaigns through Follow Up Boss and HighLevel
- Manage client segmentation, tagging, and appreciation events
- Track campaign performance and ensure no past client falls through the cracks
Daily Office & Agent Support
- Open and close the office, sort mail, restock supplies, manage vendors
- Post and schedule daily social media content; comment on leadership’s reels
- Print and mail recruiting postcards; run errands and make post office runs
- Support agent onboarding: materials, name tags, alarm codes, tech setup
- Set up, record, and upload team meetings; run slides for weekly training
Who You Are
- 3–5 years of administrative, executive support, or operations experience
- A ClickUp power user (or fast learner) who closes tasks daily without being reminded
- Tech-savvy — you enjoy learning new platforms and you’re not intimidated by automation
- Calm and steady in a fast-paced, open-office environment with high-energy leadership
- Proactive communicator — you flag problems before they become fires
- Comfortable owning your role completely — you are the only person who does what you do
- Real estate experience is a plus; a systems mindset and ownership mentality matter more
