Front Desk Administrartor
Experienced Administrative Assistant needed for a condominium located in Miami Lakes. The candidate will be responsible for the daily operations of association(s) and must be able to multi-task, handle multiple inquiries and manage daily interactions with employees, owners, residents, vendors, and the Board of Directors in a professional business-like manner and have strong communication skills.
schedule Monday-Friday no Weekends
$18-$19 and up based on experience
Major responsibilities include but are not limited to:
- You will create a welcoming and friendly environment for residents, guests, staff, and vendors.
- You will answer as many incoming calls as possible, you will take good notes and forward all necessary information to the right person according to their preferences – i.e. a text message, email or voice message.
- You will check messages a minimum of 3x daily – at the start of your shift, immediately following lunch and 30 minutes prior to leaving for the day.
- Facilitate application process for sales, leases, and purchases.
- Communicate and enforce Rules & Regulations & association Bylaws.
- Maintain organization of all official records, service contracts, up-to-date unit owner files, and other association business files.
- Assist residents as needed. Follow up with residents (email or phone call) to ensure their concerns have been addressed and satisfied.
- Handle Owner/Tenant Relations. Process new tenants.
- Ensure welcome packets are assembled accordingly.Ensure there are tenant welcome packets and enough for resales.Tenant registration.
- Verify leases.
- Provide Certificate of Approval letter.
- Maintain all necessary files in an organized manner.
- Excellent written and oral communication skills.
- Process mail requests Certified Mail, FedEx, UPS etc.
- Handle resident issues, complaints with a calm and helpful attitude.
- Assist manager as needed. Understand restrictions for community – be able to know where information is on Docs to properly answer resident questions
- Know clubhouse rules & regulations
- Maintain the Community Manager schedule, calendar and files.
- Send out email blasts as requested by Manager and Board.
- Receive and respond to any homeowner and/or Board of Director inquiries (verbal and written) in a professional, efficient, and timely manner.
- Receive and track all ARC submittals, process ARC application payments,.
- Assist Community Manager with the creation, printing and mailing of the newsletter (Quarterly).
- Assist in processing the recording of the return ballots for annual meeting/elections.
- Work with the Community manger when required on the violation process. Create, send and close violations.
- Assist the Community Manager with the organization of Annual, Budget, Board, Election and Special meetings of the Association within legal requirements.
- Properly document all Homeowner requests and process accordingly.
- Work in conjunction with the Property Manager to Process Association purchase/ lease applications from the processor and update information in Connect software.Additional Requirement
High attention to detail and time management skills
customer service with property management experience preferred
Minimum 1 1/2 years strong Administrative experience
Experience Microsoft Suite. Microsoft Word, Excel.
Experience with management software strongly preferred but will train
