General Notes

Purpose

The Administrative Associate will manage accounting and events for the Sociology Department, and liaise with Liberal Arts Centralized Business Services, which processes vouchers and documents. The position will provide finance support to and assist the Department Manager with special projects and other duties as assigned.

Responsibilities

• Accounting. Process department forms and assist with business affairs, including travel forms, official occasion/entertainment forms, and invoice/reimbursement/contract/income forms. As part of events, assist faculty visitors and recruits with travel, honoraria and reimbursements. Serve as liaison with faculty and Liberal Arts Centralized Business Services (CBS) to process payments and transactions above.

• Events. Room scheduling, catering orders, on-site assistance, budgeting support, accounting, and other related needs. Respond to faculty and student event requests.

• Graduate Program Support. Provide periodic graduate program support, including student recruiting hotel arrangements and travel reimbursements, and fellowship payments.

• General Office Support. Provide front office support, including some general office organization and maintenance, supply orders, work order requests, water and copier services.

• Communications/Development. Contribute to communications and development projects. Maintain a social media presence for Department and contribute to
  website and listserv communications.

• Assist Department Manager with special projects and other duties as assigned.

Required Qualifications

One year of experience as an Administrative Assistant or other relevant position, and a bachelor’s degree. Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Experience with a liberal arts or interdisciplinary post-secondary academic program or unit.

Salary Range

$50,000+ depending on qualifications.

Working Conditions

• Occasional evening and weekend work. Austin-area base is required.

• Standard open office conditions with repetitive use of a keyboard at a workstation.

• Must be able to lift 30-50 pounds.
