Position Overview
The Clinic Operations Manager provides hands-on leadership for the day-to-day operations of The ITD Group's Conyers clinic. This position partners closely with executive leadership, the Clinical Director, administrative staff, and contracted therapy providers to ensure efficient operations, exceptional family service, and a positive, accountable workplace culture.

Essential Responsibilities
RBT Performance Management & Accountability — Your Primary Function
- Monitor RBT attendance, punctuality, and session completion rates in real time — respond to every issue the same day it occurs
- Hold RBTs accountable to documentation standards: session notes must be completed same-day, every session, without exception
- Address attendance and performance concerns immediately; document all corrective actions and escalate through the formal process when needed
- Coordinate with BCBAs when operational RBT concerns cross into clinical territory — you manage operations, BCBAs manage clinical practice
- Support employee engagement, coaching, and retention initiatives to keep RBT turnover low
Clinic Operations
- Oversee all day-to-day clinic operations and ensure efficient daily clinic flow
- Supervise administrative staff and provide operational leadership to the clinic team
- Develop and continuously improve operational workflows, policies, and standard operating procedures
- Monitor clinic performance metrics and KPIs; report to leadership on a defined schedule
- Ensure compliance with HIPAA, Medicaid, insurance requirements, and company policies at all times
- Manage facility operations, office equipment, inventory, vendors, and supplies
Scheduling & Coverage Management
- Manage client scheduling and therapist assignments in collaboration with the Clinical Director
- Maintain a proactive coverage protocol — open shifts are filled before clients are impacted
- Monitor utilization rates, unfilled session rates, and cancellation patterns on a weekly basis
- Prioritize client-RBT continuity; coordinate any assignment changes with the supervising BCBA
Recruitment, Hiring & Employee Onboarding
- Lead recruitment efforts for RBTs and administrative staff — job postings, application review, interviews, and hiring decisions
- Coordinate employment offers and pre-employment requirements including background checks and credential verification
- Oversee new hire orientation and onboarding; ensure every new team member is prepared and clinic-ready before working independently
- Ensure all required training, documentation, system access, and compliance requirements are completed for every new hire
- Partner with HR to maintain a smooth, consistent hiring and onboarding process
Client Onboarding & Family Experience
- Oversee the client onboarding process from referral through admission — intake, insurance verification, and operational onboarding
- Help ensure clients begin services promptly while maximizing staff productivity and scheduling efficiency
- Serve as a primary point of contact for operational concerns from families; resolve issues promptly and professionally
- Promote a welcoming, organized, and professional clinic environment that families are proud to bring their children to
- Support initiatives that improve family satisfaction and client retention
Multidisciplinary Provider Coordination
- Serve as the operational liaison between The ITD Group and contracted Occupational Therapy (OT) and Speech-Language Pathology (SLP) providers operating under Memorandums of Understanding (MOUs)
- Coordinate scheduling, room assignments, and clinic logistics for multidisciplinary services
- Foster collaborative communication among ABA, OT, and SLP providers
- Assist with onboarding contracted providers and ensure compliance with clinic operational procedures
Leadership & Organizational Contribution
- Partner with executive and clinical leadership to support organizational goals and strategic initiatives
- Monitor operational budgets and resource utilization; identify opportunities to improve efficiency without compromising quality
- Promote a culture of professionalism, teamwork, accountability, and continuous improvement across the clinic team
What You Will Bring
Required:
- Bachelor's degree or equivalent management experience
- Minimum 3 years of healthcare or behavioral health operations management experience
- Previous supervisory or management experience with direct service staff
- Experience recruiting, hiring, and onboarding employees
- Strong organizational and time management skills — you track everything, miss nothing, and follow through on every commitment
- Excellent communication and interpersonal skills with staff, families, clinicians, and executive leadership
- Ability to prioritize multiple responsibilities in a fast-paced clinical environment
- Proficiency in Microsoft Office and business software
- Ability to pass a background check
Preferred:
- Experience in an ABA therapy or pediatric healthcare setting
- Familiarity with ABA billing, authorization processes, and Medicaid requirements
- Experience with Paycom, Motivity, CentralReach, or comparable healthcare management systems
- Experience with scheduling software and workforce management
Compensation & Performance-Based Growth
Salary: $60,000–$70,000 annually, based on experience.
We use a structured annual performance evaluation system assessing this role across core operational domains: RBT performance management and accountability, scheduling and coverage management, operational compliance, client and family experience, and recruitment and onboarding effectiveness. High performers are eligible for merit increases of 5–7% plus bonus consideration. Employees who meet expectations receive 3–4% annual merit increases.
