Position Overview
The Athena Real Estate Group is seeking a highly organized, proactive, and service-driven Executive Assistant/Transaction Coordinator to directly support the Team Leader and serve as a key resource for the entire team.
This role is ideal for someone who thrives in a fast-paced real estate environment, enjoys wearing multiple hats, and takes pride in ensuring every detail is handled with excellence.
The ideal candidate is solution-oriented, highly dependable, and comfortable balancing executive support, transaction management, day-to-day operational needs, and is personable.
An active Minnesota Real Estate License is strongly preferred.
Primary Responsibilities Executive Support
- Provide direct administrative support to the Team Leader.
- Manage calendars, appointments, meetings, and travel as needed.
- Prioritize communications and assist with daily workflow management.
- Anticipate needs and proactively solve problems before they arise.
- Maintain confidentiality with sensitive business and client information.
Transaction Coordination
- Ensure all paperwork is accurate, complete, and submitted on time.
- Monitor contract deadlines.
- Communicate with agents, clients, lenders, title companies, and inspectors throughout the transaction.
- Maintain compliance with brokerage and state requirements.
Team Support
- Serve as a resource for Athena team members regarding transaction questions and administrative support.
- Assist with listing preparation and marketing coordination.
- Coordinate client gifts, events, and special projects if applicable.
- Install and retrieve lockboxes and yard signs.
- Deliver listing materials when needed.
- Run occasional errands related to listings or client services.
- Assist with property launches, open houses, and team events as needed.
Qualifications Preferred
- Active Minnesota Real Estate License.
- Previous experience in real estate, transaction coordination, executive assistance, or office management.

Pay: $45,000.00 - $69,999.00 per year
