Overview

We are seeking a dynamic and highly organized Event Manager to lead the planning, coordination, and execution of a diverse range of events. Duties

• Lead end-to-end event planning, including setting up our venue space, discuss catering arrangements with our Executive Chef, décor, entertainment, and technical requirements
• Manage event budgets by estimating costs, negotiating contracts with vendors, and ensuring financial efficiency throughout the planning process
• Coordinate with clients to understand their objectives and communicate effectively to align expectations with deliverables
• Oversee event marketing efforts by promoting events through various channels and utilizing event management software for registration and attendee tracking
• Supervise on-site event setup, execution, and breakdown to guarantee smooth operations and guest satisfaction
• Develop detailed project timelines and manage multiple events simultaneously using project management tools
• Cultivate strong relationships with vendors, venues, sponsors, and stakeholders to secure favorable terms and enhance event quality
• Provide exceptional customer service by addressing client needs promptly and ensuring guest services are seamless from arrival to departure

Skills

• Proven expertise in negotiation skills to secure competitive vendor contracts and upsell additional services or amenities
• Extensive experience in event marketing strategies to maximize attendance and engagement
• Strong managing event budgets with a focus on cost control without compromising quality
• Skilled in using event management software and CRM systems for registration, communication, and data analysis
• Excellent communication skills for client consultations, team coordination, and vendor negotiations
• Exceptional organizational skills with keen attention to detail for managing multiple moving parts of large-scale events
• Leadership qualities necessary for supervising teams of staff or volunteers during events
• Technical proficiency in audio-visual equipment setup and troubleshooting is a plus
• Experience in catering or banquet operations enhances ability to oversee food service aspects effectively
• Strong time management skills to meet tight deadlines while maintaining high standards of quality
