What We Are Looking For
We are adding a Client Service Associate who thrives on turning a busy advisor's day into one that runs seamlessly — anticipating needs before they're voiced, closing every open loop, and protecting the client experience at every touchpoint. This role sits at the intersection of executive-level calendar and inbox management and true concierge-level client care.
The advisor/owner this person supports moves fast, generates ideas, and builds relationships easily — but relies heavily on the team to develop the details, hold the follow-through, and keep commitments from slipping. The ideal candidate is the steady, detail-obsessed counterweight: someone who takes ownership of the response timeline rather than waiting to be told, who double- and triple-checks before something goes out, and who feels genuine satisfaction in seeing a task fully closed out — not just started.

Core ResponsibilitiesCalendar & Time Stewardship
- Own the advisor's calendar end-to-end: remove meetings that won't occur, confirm every entry actually needs to be there, and build in realistic transition time between appointments.
- Proactively research and resolve any ambiguity on the calendar — never leave a guess on it. If unsure whether the advisor wants to attend something, ask or find out rather than defaulting to “add it.”
- Anticipate the advisor's questions about any meeting or commitment (purpose, location, who else is attending, how long it will realistically take) before they have to ask.
- Coordinate the advisor's personal and business calendars together with his spouse/family and other assistants so nothing conflicts and nothing falls through the cracks.
- Lead the weekly calendar review with the advisor — come prepared with the questions and conflicts already identified, and drive that conversation rather than waiting to be walked through it.
Meeting Management
- Schedule and reschedule client meetings and enter data into the CRM system.
- Prepare agendas and meeting summaries, and process related compliance documentation.
- Tactfully manage meetings that run long — stepping in to keep the advisor on schedule and helping him exit gracefully without the client feeling rushed or brushed off.
Email & Communication Management
- Review incoming client emails against the advisor's calendar and workload, and take ownership of getting a timely response back — don't wait on the advisor to notice it's overdue.
- Research, draft, or coordinate with the team (analyst, advisor) to pre-write responses for the advisor's review and approval before sending — for client matters touching the analyst's area, coordinate with them directly rather than answering solo.
- When a full answer isn't possible yet, proactively send an interim response (e.g., acknowledging the request and setting a timeline) so the client is never left wondering.
Coordination with the Analyst
- The CSA and the analyst share joint ownership of the client relationship — both are responsible for the client being well taken care of, and both may pick up tasks that don't fall neatly on one side or the other.
- The division of labor isn't perfectly clean by design: the analyst leads meeting prep and all licensed related activity follow-up and related follow-ups, while the CSA leads calendar, inbox, and coordination — but where the lines blur, the two work together rather than letting something sit slip between the cracks.
- Coordinate directly and proactively with the analyst on client emails — loop them in on relevant requests, pull in their research or expertise before pre-writing a response, and make sure both of you know what the other has already told the client.
- Treat the analyst as a true partner in serving the client and the advisor, not a handoff point — communicate early and often rather than working in separate lanes and comparing notes after the fact. This person works in a team with the Analyst and the Advisor to serve the client.
Accountability & Open Action-Item Tracking
- Serve as the single point of accountability for all open action items — from client meetings, internal follow-ups, and requests, whether owned by the advisor, an analyst, or the associate — and track every one to closure, in partnership with the analyst.
- Genuinely enjoy the discipline of tracking follow-through, not just tolerate it — this is a defining function of the role, not an add-on.
- Regularly check in on outstanding items with whoever owns them, pushing each one toward a quick, on-time close rather than letting it sit.
- Apply humility and tact when following up or holding others (including the advisor) accountable
Client Concierge Experience
- Act as the client's primary point of contact for scheduling and coordination — clients should know exactly how to reach the advisor through you.
- Anticipate what the advisor needs in order to walk into a client conversation fully prepared, and help gather or prep that information in advance.
- Create “wow” moments and deliver a distinctive, high-touch client experience in every interaction — in person, by phone, and by email.
- Greet clients, provide hospitality while they wait, answer phones, and keep client-visible spaces in order.
Administrative & Compliance Support
- Support client account set-up and manage internal email alerts.
- Prepare and ensure new business paperwork is submitted successfully, including obtaining required signatures.
- Run insurance quotes and process money movement between accounts.
- Perform other duties as assigned by the advisor.
Marketing & Team Collaboration
- Participate in the coordination and execution of marketing events, which may occasionally take place after normal working hours.
- Participate actively in team meetings and contribute collaboratively; help out wherever needed — “go team.”
