Performs a variety of routine administrative and clerical duties as assigned including preparing documents, answering telephone, making appointments, reception and check-in for clients in Medical Record System, maintaining client records, filing billing claims and invoices, purchasing processing for Health Department, correspondence, and operation of office equipment in carrying out assigned duties; to assist other employees in the program as needed; under supervision of the Health Administrator. 1) Utilizes communication skills and departmental guidelines in contacts with the public in providing information, taking telephone messages, responding to client appointment needs, and other special assignments; 2) Operates computer, calculator, copy machine, audiovisual equipment, and other office equipment as needed; 3) Assists Clinic Manager and other Health Department staff with clinic activity, which may include travel; 4) Assists in adult health education programs; 5) Screens immunization records and updates immunization files; 6) Enters children’s immunizations into ImmTrac Registry; 7) Assists with billing and invoicing patient services, including preparing and submitting claims to third party payers and following up on unpaid accounts, recording payments received; 8) Supports inventory and management by tracking supplies and reporting needs and filling requests as needed; 9) Maintains automated inventory and monthly vaccine inventory reports for Health Department; 10) Helps with medical services as appropriate and only within the scope of determined competency and approved authority; 11) Utilizes online credit card system and excel spreadsheet for daily deposits and reports; 12) Responds to emergency situations; 13) Other tasks as required by supervisor.
High School Diploma or G.E.D.; one to three years’ training and experience in clerical/receptionist work, billing or other medical support. Bilingual (English/Spanish) preferred.
General knowledge of office procedures, correspondence, preparing documents, telephone courtesy, office equipment, and filing system. Skills to perform duties of preparing documents, data entry, and basic spreadsheet use, operation of computer and audio/visual equipment and telephone. Ability to carry out instructions as given by supervisors through use of knowledge and skills required above. Able to work with the public in a tactful manner and thoughtfully assist difficult customers, as needed.
Must have a valid Texas Driver License. Must obtain IS-100, IS-200, IS-700, and IS-800 NIMS certificate within 6 months of hire.
Works indoors. Possible exposure to germs and infectious disease through clients receiving medical services. Job requires light physical activity. Ability to sit, stand, and move about an office or building. Employee occasionally lifts materials weighing approximately 20 to 30 pounds or climbs in order to reach cabinets. Ability to bend and squat in order to file or retrieve information. May be exposed to electrical, mechanical, or chemical hazards when operating or maintaining office equipment. Ability to see and handle small objects.
