Position Summary

The Director of Reserve Studies is a senior leadership role responsible for the oversight, quality assurance, and delivery of professional reserve studies and funding analyses for community associations, organizations and institutions. This position manages technical staff, ensures compliance with applicable professional standards and statutory requirements, and serves as a primary liaison to clients.

The role is primarily based in Northern California, with responsibilities extending throughout California and nationwide as needed.

Key Responsibilities

• Direct and oversee the preparation, review, and delivery of Level I, II, III, and IV Reserve Studies and funding updates in accordance with applicable laws, professional standards, and contractual requirements.
• Ensure all required client documentation, plans, and data necessary for reserve study preparation are obtained accurately and within established timelines.
• Assign reserve study projects to reserve analysts based on workload capacity, technical expertise, and asset complexity.
• Provide technical guidance, mentorship, and quality control oversight to reserve analysts and site inspectors.
• Review and validate quantitative take-offs from construction documents and onsite visual inspections, including component identification, cost estimates, useful life assumptions, and condition assessments.
• Provides guidance under applicable APRA (PRA) and CAI (RS) professional designations and stamps.
• Apply and review cash flow modeling methodologies, including full funding, threshold funding, and baseline funding approaches.
• Maintain oversight of flooring and deck rule compliance inspections in coordination with site inspectors and community managers.
• Monitor changes in construction materials, methods, and technologies and assess their impact on reserve component inventories and long-term funding models.
• Manage and update proprietary databases containing reserve components, cost data, and useful life benchmarks.
• Ensure timely completion of reserve studies, funding updates, and reserve disclosures in support of California Civil Code budget preparation cycles, including services provided to internally managed and self-managed bookkeeping clients.
• Represent the organization professionally in meetings with boards of directors, community managers, or other assigned client point of contact.

Qualifications

• Bachelor’s degree in business administration, Finance, or Construction Management
• 7-10 Years of construction or finance related work experience
• Current Professional Reserve Analyst (PRA) designation from the Association of Professional Reserve Analysts (APRA) and/or Reserve Specialist (RS) designation from the Community Associations Institute (CAI), or active progression toward obtaining such credentials.
• Demonstrated experience in reserve study preparation, review, and supervision.
• Advanced proficiency in Microsoft Word, Excel, Access, and PowerPoint.
• Working knowledge of Google Earth and Adobe Acrobat Standard for measurement take-offs and document review.
• Strong understanding of financial modeling, reserve funding methodologies, and mathematical analysis.
• Ability to read and interpret construction plans, parcel maps, governing documents, and land-related legal documents.
• Excellent written and verbal communication skills, with the ability to present technical information to non-technical audiences.
• Strong organizational and time-management skills with the ability to meet regulatory and contractual deadlines.

Supervisory Responsibilities

• Directly supervises Reserve Analysts and Site Inspectors.
• Responsible for performance oversight, workload distribution, and adherence to professional standards.

Additional Requirements

• Ability to travel locally, statewide, and nationally as required.
• Ability to conduct onsite inspections, including walking properties and accessing building components.
• Compliance with company policies, professional ethical standards, and applicable regulatory requirements.

Pay: $110,000.00 - $130,000.00 per year
