Overview
Under the general supervision of the Associate Vice President for Institutional Advancement, the Advancement Associate plays a key role in strengthening philanthropic support for Holy Apostles College & Seminary. This position supports annual giving initiatives, gift processing, donor relations, fundraising events, and grant proposal development, all in service of advancing the mission of the College and Seminary.
The Advancement Associate contributes to the overall success of the institution through a respectful, collaborative, and energetic approach to work. Guided by the Charism and Mission of Holy Apostles College & Seminary and the Society of the Missionaries of the Holy Apostles, the Advancement Associate fosters positive relationships and upholds the values and goals of the institution in all aspects of their responsibilities.
PRINCIPLE DUTIES AND RESPOMSIBILITIES
Donor Relations & Database Management
- Execute annual giving campaigns (direct mail, email, online, social media)
- Process gifts, provide timely acknowledgement letters to funders, and ensure timely donor recognition
- Maintain and update donor database (e.g., CRM system) and generate accurate lists
- Segment donor lists for targeted outreach Ensure data accuracy and confidentiality
- Maintain organized records of donor interactions, grant applications and fundraising activities and prepare reports
Events & Engagement
- Coordinate logistics for Institutional Advancement events including the annual HACS Gala
- Coordinate many facets of events management both in person and onlineincluding outreach and registration, guest list development, pre and post communication and email inquiries
- Manage the HACS Gala Silent Auction
- Represent the organization by attending community events when appropriate
Grant & Research
- Conduct prospect research on foundations and corporations
- Assist with grant applications, reports, and supporting materials
- Meet with appropriate college offices to obtain narrative content or co-write grant narrative and develop ideas into fundable projects
- Prepare budgets and budget narratives to support grant proposals
- Maintain a grants calendar and monitor deadlines
Stewardship and Engagement
- Supports donor cultivation and stewardship and ensures timely and meaningful acknowledgment of contributions
- Plans events, meetings, and gatherings that deepen donor connection
- Collaborate across departments to deliver the best possible donor experience
- Provide written content regarding alumni profiles as needed for the monthly newsletter
- Assist in long-term strategies for cultivation and development of donors
- Provide general administrative support to the AVP, Institutional Advancement as needed
- Other duties as assigned
QUALIFICATIONS AND SKILLS:
- 2 - 5 years of experience and a record of success with annual giving, events and grant writing
- Ability to manage multiple priorities and deadlines
- Strong writing and communication skills
- Experience with donor databases/CRMs
- Demonstrated success with annual fundraising and event planning
- Detail-oriented with strong organization and project management skills
- Familiarity with grant writing and fundraising best practices
- Knowledge of the Catholic faith and prior experience in higher education helpful
- Commitment to the vision, mission and core values of Holy Apostles College & Seminary.
- Knowledge of MS Office Suite and fundraising database systems
- May require occasional evenings and weekends
- Bachelor’s degree required
- Work Location: In person (hybrid option possible)
