Job Description
Reports To: Senior Pastor / Pastor-Parish Relations Committee
Position Type: Part-Time (30-35 hours/ week), 32-hour base
Status: Non-Exempt
Salary: $18-$20/hour
ANTICIPATED TIME COMMITMENTS
- In-office 8:00-4:30 Monday-Thursday, occasionally more.
- Participating in meetings/ trainings as needed.
Job Summary
The Pastoral Assistant provides vital administrative, operational, and hospitality support to advance the ministry of First Methodist Church. This role serves as the primary receptionist for the church office, manages the master church calendar, assists the Pastor with daily scheduling, and handles routine financial transactions including offering deposits.
Core Responsibilities
1. Reception & Hospitality (Front Office)
- Act as the primary point of contact, welcoming visitors and responding to phone and email inquiries with warmth and professionalism.
- Filter and direct communications to the Pastor and appropriate ministry leaders.
- Receive, sort, and distribute incoming mail and deliveries.
2. Pastoral & Calendar Administration
- Maintain and oversee the master church calendar to prevent scheduling conflicts for events, meetings, and facility use.
- Assist the Pastor with scheduling, calendar management, and basic administrative tasks.
3. Communications & Document Preparation
- Design, compile, and print the weekly church bulletin (order of service).
- Compose, format, and schedule the weekly digital e-newsletter to the congregation.
- Coordinate with the Pastor and ministry leaders to compile, edit, and produce year-end ministry reports.
- Draft, format, and proofread official church correspondence, letters, social media posts, and administrative forms as needed.
4. Financial Stewardship & Bookkeeping
- Prepare, document, and execute weekly offering deposits
- Maintain organized, confidential records of financial transactions and receipts for the church accountant, treasurer, and finance chair.
- Compliance Note: Adhere strictly to church internal control policies, ensuring all offering counts are verified by a second authorized individual prior to deposit.
5. General Office Operations
- Maintain an organized, clean, and welcoming church office environment.
- Monitor and order office supplies and equipment, tracking expenses against the administrative budget.

Qualifications & Skills
- Experience: 2+ years of experience in an administrative, receptionist, or bookkeeping role (church or non-profit experience preferred).
- Financial Literacy: Basic understanding of bookkeeping, bill paying, and secure cash handling.
- Technical Proficiency: Skilled in Microsoft Office, digital communication platforms (e.g., Mailchimp, Constant Contact, Facebook), and church management software (Shepherd’s Staff, ChMS, ShelbyNext, Planning Center).
- Core Competencies: Warm personality, Exceptional organizational skills, strong verbal and written communication, attention to detail, and an absolute commitment to maintaining strict confidentiality regarding pastoral care and financial data.
Pay: $18.00 - $20.00 per hour
