Job Description

We are seeking an expert-level QuickBooks Online (QBO) consultant to perform a comprehensive audit, cleanup, and restructuring of our accounting system. The primary goal is twofold:

• Establish a flawless revenue recognition workflow for data originating from Vagaro (including memberships, packages, and gift cards).
• Overhaul our expense accounting and Chart of Accounts to ensure our Profit & Loss (P&L) statement is accurate, meaningful, and GAAP-compliant.

If you are a meticulous QBO wizard who can untangle messy historical data, align complex app integrations, and structure a P&L that gives business owners clear operational visibility, we want to hear from you.

Key Responsibilities

• System Audit & Historical Cleanup: Diagnose and fix existing issues in the QBO account, including historical accounting discrepancies, duplicate transactions, misclassified expenses, and broken data feeds from previous periods.
• Vagaro Integration & Revenue Recognition: Correctly map the data flow from Vagaro to QBO. Set up the automated tracking of deferred revenue so income is recognized when services are rendered, not just when cash is collected.
• Expense Accounting Overhaul: Review, clean up, and categorize historical and ongoing expenses. Ensure proper rules, matching, and classifications are in place for vendor payments, recurring bills, and payroll.
• P&L Restructuring: Optimize the Chart of Accounts to generate a clean, accurate, and actionable Profit & Loss (P&L) statement. This includes properly separating Cost of Goods Sold (COGS) / Direct Costs from operating expenses (OpEx) so we can see our true gross and net margins.
• Process Documentation: Provide a brief workflow overview or standard operating procedure (SOP) to ensure our internal team can maintain the integrity of your new revenue, expense, and P&L setup.

Required Qualifications & Skills

• Certified QuickBooks Online Advanced ProAdvisor (strongly preferred).
• Deep expertise in Revenue Recognition principles (deferred revenue, gift cards, memberships) and Expense Accounting/Accrual workflows.
• Direct experience integrating Vagaro (or highly similar booking platforms like Mindbody or Acuity) with QBO.
• Master-level data forensic and cleanup skills—you enjoy hunting down discrepancies and balancing accounts that others find messy.
• Proven track record of restructuring Charts of Accounts to deliver clean, executive-ready P&L reports.
