Job Summary: PPI Quality & Engineering is seeking a Receptionist / Office Assistant dedicated to handling employee and guest facing duties as well as providing administrative support in a dynamic environment. The ideal candidate has excellent communication and multitasking skills, a positive attitude, and a strong work ethic. About the role:
Employment Type: Full-Time Employee
Schedule: Monday–Friday, In Office | 8:00 AM – 4:30 PM or 7:30 AM – 4:00 PM
Hourly Rate: $18-$20 per hour
Roles & Responsibilities

Greet and welcome guests as soon as they arrive at the office

Screen and forward incoming phone calls

Ensure reception and conference room areas are safe, tidy, and presentable

Provide basic and accurate information in-person and via phone/email
-
Receive, sort and distribute daily mail/deliveries
-
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

Restock and maintain organized kitchen/break area
-
Order office supplies and keep inventory in stock
-
Create and maintain office documents for general use (directory, floor plan, check log, etc.)
-
Organize, setup, and tear down luncheons for meetings and small events when needed
-
Manage shipping and basic logistics (FedEx, USPS, Courier, etc.)

Perform expense reporting for executive leadership team on a monthly basis

Perform document verification processes for submittal
-
Reconcile credit card statements and receipts, investigating and resolving charge discrepancies.

Other administrative duties including but not limited to, data entry, filing, photocopying, and faxing

Any additional support duties as assigned by the Office Manager
Do you have what it takes?:
Required Education / Experience

High School Diploma
- Proven work experience as a Receptionist, Front Office Representative, or a similar role

Proficiency in MS Excel spreadsheet and Adobe Acrobat

Experience reviewing invoices for accuracy, completeness, and proper documentation

Experience preparing and processing monthly expense reports

Experience reviewing and verifying documents for accuracy and completeness before submission.

Experience reconciling corporate credit card statements

Hands-on experience with office equipment (e.g. fax machines and printers)

Professional attitude and appearance with strong interpersonal skills

Strong written and verbal communication skills

Excellent organizational and time-management skills
- Proven experience taking initiative in a dynamic and challenging work environment

Demonstrated ability to maintain integrity and confidentiality
