About the Role
The ABA Team Scheduler serves as a critical member of our Operations Team, ensuring clients receive consistent services while supporting our Behavior Technicians and Clinical Teams.
This role combines scheduling, workforce coordination, client communication, staffing support, and operational planning. You'll help match the right Behavior Technicians to the right clients, coordinate schedules across an assigned region, and ensure services are delivered efficiently while supporting both employee satisfaction and client success.

What You'll Do
Scheduling & Workforce Coordination
- Create and manage schedules for Behavior Technicians and clinical staff across an assigned region.
- Coordinate daily scheduling changes related to cancellations, staff absences, and operational needs.
- Ensure schedules account for drive time, meal periods, rest breaks, and service continuity.
- Monitor staffing needs and proactively identify solutions to scheduling challenges.
- Maintain accurate employee availability and scheduling records.
Caseload Assignment & Staffing
- Assign Behavior Technicians to client caseloads based on availability, location, service needs, and scheduling compatibility.
- Meet with newly onboarded Behavior Technicians to review availability and facilitate caseload placement.
- Partner with Operations and Clinical Leadership to ensure clients receive timely staffing support.
- Support workforce planning efforts as we continue to expand our services.
Family & Employee Support
- Communicate scheduling updates, staffing changes, and approved PTO-related service impacts to caregivers and staff.
- Serve as a scheduling resource for employees, families, and internal teams.
- Deliver exceptional customer service with professionalism, empathy, and responsiveness.
Authorization & Administrative Support
- Enter and maintain client authorization hours within our practice management system.
- Ensure scheduling aligns with approved service authorizations and treatment recommendations.
- Maintain accurate records and documentation.
Compliance & Team Collaboration
- Protect client confidentiality and comply with HIPAA and company policies.
- Attend team meetings, trainings, and ongoing professional development opportunities.
- Support special projects and operational initiatives as needed.
What We're Looking For
Required Qualifications
- High school diploma or equivalent.
- Experience in scheduling, staffing coordination, customer service, healthcare administration, ABA operations, or a related field.
- Exceptional organizational and time-management skills.
- Strong verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Google Workspace, Microsoft Office, and scheduling systems.
Preferred Qualifications
- Experience in ABA, behavioral health, healthcare, or human services.
- Bilingual English/Spanish.
- Experience with workforce scheduling and client coordination.
- Familiarity with Solano County and surrounding service areas is helpful but not required.
