Job Summary
The Donor Programs & Administration Director serves in a critical role which is responsible for the overall validation, management, and coordination of donations made to the organization. The Donor Programs & Administration Director will work closely with the CEO, Board of Directors, 3rd parties, and key stakeholders to achieve the objectives of the role and to support the mission and vision of the organization.
Key Responsibilities
This role is responsible for managing the end-to-end donation process for the organization, including accurately validating and documenting client donations, ensuring proper donor communications, and maintaining accurate client donation records. This role will own the development and implementation of standard operating procedures to streamline the donation process and ensure adherence to compliance regulations and requirements. In addition, the position will be responsible for the development and management of donation solicitations and the creation of focused and targeted donation programs used to develop and expand our donation relationships and material or financial sourcing across our networks.
Donation Administration
- Directly responsible for the validation and confirmation of receipt for donated items made to the organization by the client or their representatives.
- Coordinates with 3rd parties and appraisers to validate and provide required details of the donated items.
- Acts as signatory on all client donation records as required by state and federal regulations.
- Frequently and as required, visits client job sites throughout the Midwest to perform direct, onsite inventories of donors’ inventory and documents the details of for each donation.
- Establishes effective decision-making processes enabling the organization to achieve its long-term and short-term goals and objectives.
Data Management
- Accurately enters and updates donor information in the required formats and systems. e.g. federal tax forms, Google Docs, Google Drives, etc.
- Maintains accurate records of all client donations, including donor contact details, donated item details, item quantities, donation date, and related information as required.
- Capable of and actively leverages technology solutions and platforms to improve process efficiencies.
- Establishes data management processes to effectively maintain data integrity and meet monthly, quarterly, and annual reporting requirements.
Donation Processing
- Receives and processes donation documents and inventories as provided by 3rd parties and appraisers.
- In conjunction with 3rd parties and appraisers, creates, produces and manages the required documentation to confirm and support the client’s donation.
- Reconciles donation preliminary inventories with post project donation validations.
- Ensures the timely and accurate distribution of required documentation for each client project.
- Leverages available resources and technology to develop scalable and efficient operational capabilities across our business.
Donation Programs
· In collaboration with Senior Leadership, develops and launches donation focused programs to solicit and secure donated materials to further support the organization’s mission.
- Develop and implement comprehensive donor engagement strategies to foster long-term relationships and increase contributions.
· Proactively targets organizations, companies, and individuals such as contractors, developers, property management companies, corporations, distributors, manufacturers, and targeted private parties to solicit and secure additional donated materials.
· Develops related program materials supporting public messaging and solicitation of material and monetary donations.
- Lead the planning, coordination, and execution of fundraising campaigns, events, and outreach initiatives
Donation & Diversion Reporting
- Oversee the administration of donor databases, gift processing, and reporting systems to ensure accuracy and compliance with government regulation policies.
- Creates and prepares recurring reports for Senior Leadership to provide the status of each client donation inventories.
- Creates and prepares recurring reports to track charitable donations made to individuals and other non-profit organizations.
- Creates and prepares weights and measurement reports for Senior Leadership which validate and provide visibility to our key diversion metrics in support of the organization’s mission.
- As required, produces ad-hoc donation related reports as requested by Leadership.
Compliance
- Ensures strict compliance with all state and federal documentation requirements.
- Identifies and raises donation discrepancies to Senior Leadership and others as required.
- Adheres to all relevant regulations regarding donor privacy and data security.
- Works closely with Senior Leadership to identify gaps, risks, and areas for improvement across our processes.
- Performs all duties with the highest degree of integrity and stewardship.
What We’re Looking For
- 3 to 5 years’ experience working in a high-growth organization preferably within the reuse market segment and / or a non-profit entity.
- Direct experience managing and administrating client donation processes for a non-profit.
- Strong understanding of current laws, rules, and regulations related to the receipt and reporting of private property and non-monetary donations.
- Ability to travel to off-site project locations as required and / or requested. *Note travel to select project sites could be ~40% to 50% of a given work week.
- Experience and expertise in developing and launching formal donation focused programs from vision to execution.
- Ability to troubleshoot issues and recommend opportunities to improve the organization’s processes and related programs.
- Detail-oriented and sound reasoning skills combined with strong oral and written communication skills. Accurate data entry, recordkeeping, and communication are critical and a must for this role.
- Strong organizational skills and the ability to manage multiple tasks and deadlines efficiently.
- Exceptional project management, organizational and time management skills, with the ability to prioritize and manage multiple projects simultaneously, seeing projects to completion on time.
- Strong knowledge and experience leveraging current technology platforms to support the business, drive efficiencies, and get the job done!
- Teamwork and collaboration are a must while operating and performing with a high degree of integrity, dependability, and trustworthiness in all responsibilities.
- Ability to develop strong relationships and collaboration at all levels within the organization.

Compensation
Our salary range for this position is $37,500.00 to $45,000.00 base salary minus required taxes and statutory withholdings. In addition, this position will be eligible to participate in Company Bonus Programs offered by the Company which will be communicated post hire. Please note the target salary range is based on an 8-hour workday and a 5-day work week and determined by the candidate’s location, prior experience, and alignment to the requirements of the role.
