The Office Coordinator & Junior Client Service Associate serves as the first point of contact for clients, visitors, and business partners while supporting advisors and the service team.
This role combines front-office professionalism, office operations, client service support, technology utilization, and event coordination to help deliver an exceptional client experience.

Cypress Wealth Services is a well-established Registered Investment Advisory (RIA) firm based in Palm Desert, CA. We are seeking a full-time Office Coordinator/Junior Client Service Associate to join our team in an in-office position.

We are looking for a person who shares our commitment to providing this high level of service. While prior experience working with Charles Schwab is not required, it is a plus.

Key Responsibilities
- Greet visitors, answer phones, and direct clients and business partners appropriately.
- Coordinate calendars, confirm appointments, schedule meetings, and assist with advisor scheduling needs.
- Support client service activities including account forms, data entry, system audits, and database maintenance.
- Prepare meeting materials and coordinate logistics for client and prospect meetings.
- Serve as liaison with vendors, building maintenance providers, and office service providers.
- Maintain conference rooms, common areas, office supplies, kitchen supplies, and overall office organization.
- Manage incoming and outgoing mail, shipping, deliveries, and office equipment needs.
- Coordinate client events, seminars, workshops, and special projects.
- Leverage technology and workflow systems to improve efficiency, organization, and service delivery.
- Perform other duties and special projects as assigned.
Required Qualifications
- Polished, professional, and highly organized administrative assistant with 5+ years of in-office experience supporting a busy office environment with significant client interaction.
- Outstanding verbal and written communication skills with a warm, confident, and professional presence.
- Tech-savvy and process-oriented with proficiency in CRM systems, scheduling platforms, e-signature tools, Microsoft Office, and workflow management systems.
- Strong executive support capabilities, including calendar management, meeting coordination, event planning, and prioritization of competing responsibilities.
- Exceptional attention to detail, follow-through, and ability to anticipate needs before they arise.
- Collaborative team player who quickly learns people, processes, and priorities and contributes to a positive office culture.
Strongly Preferred
- Experience working for a Registered Investment Advisor (RIA), wealth management firm, family office, or broker-dealer. Familiarity with advisory firm operations and industry terminology.
- Experience supporting multiple advisors, executives, or senior professionals.
- Hands-on experience with Wealthbox, Orion, Schwab Advisor Center, DocuSign, Adobe, Calendly, or similar platforms.
- Experience coordinating client events, seminars, workshops, or marketing initiatives.
- Demonstrated ability to identify process improvements and leverage technology to create a more efficient client service experience.
