YWCA Missoula is looking for a Grants Administrator

The Grants Administrator supports the mission of YWCA Missoula through all aspects in the grantmaking lifecycle including application development, reporting, compliance, data management and subcontracting. This position leads all grant management operations for a diverse portfolio of current grant funds, ensures proper collection of data and analysis, researches and solicits new grant funding, and provides leadership to staff responsible for the management and operation of grant funded programs.

The Grants Administrator works across all of YWCA Missoula’s administrative and program areas to ensure that grant activities comply with federal and state regulations, that program data is accurate and consistent, and disseminates program outcomes and performance to the rest of leadership. The Grants Officer is responsible for creating a data-rich environment in which leadership and partners can actively use data to make decisions that support outcome-based programming. Additionally, this position has primary responsibility for ongoing improvement of all aspects of the grants administration process, including policy developments and updates, compliance and implementation of processes, and providing support and training to administrative and programmatic staff.

QUALIFICATIONS:

• 5+ years of grants management experience with a deep understanding of pre- and post-award grant processes, and related financial and compliance issues, with a preference for federal grant acquisition and management required.
• Excellent written and verbal communication skills, with a proven ability to present material in an understandable manner to leadership, grantors, and the community at large.
• Demonstrated ability to develop and implement complex projects, preferably within a non-profit, mission driven organization.
• Strong understanding of 501(c)(3) non-profit organizations and how grant funding, particularly federal grants, function as a sustainable funding mechanism.
• Knowledge of Federal 2 CFR 200 Uniform Administrative Requirements, Cost Principles and Audit Requirements for Federal Awards preferred.
• Strong financial competency, particularly around organizational and project budgets and financial sustainability.
• Demonstrated ability to communicate and work with people in an effective, empowering and collaborative manner, including creative problem solving and meeting facilitation.
• Strong analytical and conceptual skills; database management preferred.
• Above average computer skills, with a working knowledge of Microsoft 365, Adobe, and database management.
• Strong attention to detail, organizational skills and accuracy.
• Bachelors' Degree or equivalent experience in related field preferred.
• Must pass a background check designed to protect the interest of women and children served by YWCA Missoula’s programs.
• Ability to maintain confidential information.
• Ability to communicate effectively, both orally and in writing, with a variety of individuals, including clients, peers and supervisors.
• Good work habits, including punctuality and ability to organize and manage time and information.
• Ability to accept, act on and offer constructive criticism.

Grant Management:

• Oversee a diverse portfolio of current federal, state, local government and private foundation grants for YWCA Missoula.
• Manage multiple grant cycle schedules and ensure timely completion of grant related tasks and functions.
• Work closely with program staff to gather data and programmatic information for the submission of timely high quality quarterly, semi-annual and annual grant reports.
• Lead grant proposal development process incorporating input from leadership and relevant staff, and ensuring quality control, including narratives, budgets, performance plans, timelines, and other required documents.
• Research new grant funding possibilities and lead strategy, implementation, and management of new competitive and invited grant proposals that advance YWCA Missoula’s mission.
• Establish and maintain effective working relationships to further grantmaking to YWCA Missoula.
• Lead data collection and analysis to support new projects and acquisition of new grant funding.
• Stay updated on private and public funding priorities; track and share relevant grant opportunities.
• Contribute to continuously improving internal grant management systems.
• Assist in monitoring expenditure against budgets and support financial reporting.

Program Management:

• Monitor and evaluate program achievement, recommending modifications that lead to improved outcomes for program participants, and compliance with grant requirements.
• Manage organizational data; analyze and present data for annual and strategic planning.
• Monitor community and regional data for emerging trends that impact current programming and development and help position YWCA Missoula to respond to needs from a financially sustainable position.
• Assist with the implementation and planning for administering outcome-driven programs
• Document, analyze, and share learning from proposal and reporting process, and compliance activities.
• May provide functional direction to program staff on assigned work.

What else you should know:

The position is full-time, 40 hours per week. Monday through Friday, Regular Business Hours, some evenings and weekends may be required. The base wage for this position starts at $70,000 salary; higher wages would be based on relevant experience calculated using YWCA Missoula’s wage matrix.
