Here's a summary of responsibilities:
The Specialist, Stewardship Operations supports the execution of timely, seamless, and high-quality stewardship and onboarding experiences for U.S. Olympic & Paralympic Foundation (USOPF) donors. Reporting to the Manager, Stewardship Operations, this role provides essential logistical, administrative, and project coordination support that enables personalized and consistent donor touchpoints.
The Specialist collaborates closely with the Manager, Stewardship (Major Gifts), Director, Stewardship, Giving Level Leads, and cross functional teams to ensure stewardship activities, gifting operations, and onboarding workflows are executed accurately and on schedule. This position serves as a key operational partner for frontline staff seeking assistance with gifting, onboarding logistics, and donor data accuracy.
Here’s how you’ll have an impact:
Gifting & Inventory Operations (40%)

Support the team’s gifting needs across events, stewardship, donor onboarding, specialty gifting, major gift officer support, and hospitality.

Support gifting vendor relationship and manage any in-house gifting inventory, including logging, tracking, and organizing products from the USOPC warehouse or gifting vendor to Headquarters in Colorado Springs.

Order gifting items, coordinate with vendors, and pack gifts with exceptional detail, care, and accuracy.

Coordinate all shipping needs for the stewardship team; work in partnership with the events team for event shipments if needed.

Support annual stewardship gifting efforts, including vendor support coordination, product tracking, inventory monitoring, and fulfillment.

Prepare and ship stewardship materials in collaboration with the Manager, Stewardship Operations and cross functional partners.

Support execution of purchase orders, process invoices, and track budgets related to gifting components for the stewardship team.
Onboarding & Donor Experience Execution (30%)

Execute onboarding workflows in Salesforce, ensuring all steps are logged, tracked, and documented accurately.

Coordinate delivery of welcome communications, acknowledgments, gifting and experiences aligned with donor giving levels.

Serve as a resource for MGOs and Giving Level Leads regarding onboarding logistics and process questions.

Ensure consistency and quality across all onboarding touchpoints.
Stewardship Operations Support (20%)

Assist in executing annual, quarterly, and monthly stewardship operations plans developed by the Manager(s).

Coordinate logistics for donor touchpoints—including mailings, webinars, and milestone recognition—ensuring timely and accurate delivery.

Help maintain stewardship calendars and track progress against planned activities.

Support pledge installment processes by preparing reminders, updating schedules, and ensuring fulfillment steps are completed.
Data Management, Reporting & Administrative Support (10%)

Enter and update donor stewardship and onboarding data in Salesforce with accuracy and timeliness.

Monitor donor journey data for completeness and flag gaps or inconsistencies to the Manager.

Assist in generating reports and dashboards that support stewardship planning and execution.

Perform other duties as assigned.
Here are the skills and experience you'll need to be effective:

Bachelor’s degree in nonprofit management, communications, or equivalent professional experience.

2–3 years of experience in donor stewardship, nonprofit fundraising, operations, or related administrative roles.

Experience with CRM systems and donor data management preferred.

Familiarity with donor engagement, project coordination, or customer experience processes.

Strong interpersonal and relationship building abilities.

Excellent organizational skills and attention to detail.

Ability to manage multiple priorities and meet deadlines.

Strong written and verbal communication skills.

Proficiency in Microsoft Office Suite and project management tools.

Here's some more information you need to know:

Hiring pay range $55,000 - $60,000 per year.

This Full-Time, Exempt position is intended to work 40 hours per week.

Bonus: This position will be eligible for the Annual Incentive Award Program, which has a 10% target. The USOPC may change or eliminate this program at any time at its sole discretion.
