Position Title: ASSISTANT PROJECT MANAGER
Position Purpose
The Assistant Project Manager is responsible for coordinating, facilitating, and taking ownership of the successful and profitable execution of commercial flooring installation projects. This role serves as a critical liaison between Project Managers, the Sales team, customers, and field crews to ensure seamless project flow from contract award through final closeout.
Operating in a fast-paced environment, the Assistant Project Manager must demonstrate strong organizational skills, attention to detail, and the ability to manage multiple priorities while delivering an exceptional customer experience.
Functional Responsibilities
Project Planning & Coordination
· Develop and manage project plans to ensure successful, timely, and profitable completion
· Identify potential risks and proactively implement mitigation strategies
· Participate in job reviews and project meetings
· Track project milestones and deadlines
· Primary point of contact for communication on schedule updates to customers and internal teams
Contract & Document Management
· Ensure job files include properly executed customer documentation (contracts, purchase orders, proposals, etc.)
· Administer contracts and maintain compliance with requirements
· Establish and maintain comprehensive job folders, including:
o Contracts, proposals, and insurance documentation
o Contact information and job site details
o Payment terms, schedules, and billing documentation
o Plans, seam diagrams, and project specifications
o Prevailing wage documentation, schedules of values, bonding requirements, and lien information
· Maintain accurate and complete data entry across all systems
Material & Labor Coordination
· Process material submittals and secure approvals
· Order materials and track delivery to align with project schedules
· Monitor lead times and identify material shortages and delays
· Track freight shipments and delivery status
· Coordinate labor scheduling and material delivery
· Ensure subcontractor compliance, including required documentation and insurance
Financial & Change Management
· Process and track change orders; ensure billing remains accurate and up to date
· Verify job costing and perform ongoing job cost audits
· Review supplier and subcontractor invoices for accuracy
· Coordinate lien waivers, and payment related documentation
· Generate and process customer invoices and ensure timely invoicing with accuracy
· Assist with maintaining project profitability and cost control
Field Operations Support
· Communicate regularly with field teams to ensure smooth project execution
· Troubleshoot scheduling conflicts, material delays, and jobsite challenges
· Coordinate punch list items, return trips, and issue resolution
Issue Resolution & Quality Support
· Research and process claims; collaborate with manufacturers to resolve product defects
· Support quality assurance efforts to ensure installations meet project specifications
Closeout & Administrative Support
· Manage project closeout, ensuring all documentation and requirements are complete
· Compile and submit closeout packages, including warranties and maintenance documentation
· Ensure timely and accurate final invoicing
· Provide support for special projects and perform additional duties as assigned
Knowledge, Skills, and Attributes
Technical Skills
· Proficient in Microsoft Office (Teams, Outlook, Excel)
· Ability to learn and navigate ERP and project management systems
Organization & Execution
· Strong attention to detail with a high level of accuracy
· Excellent organizational and time management skills
· Proven ability to manage multiple priorities in a fast-paced, deadline-driven environment
Communication & Relationship Management
· Strong written and verbal communication skills
· Ability to work both independently and collaboratively
· Ability to build and maintain strong client and vendor relationships
Industry Knowledge
· Basic understanding of contract terminology and construction documentation
· Ability to read and interpret plans and specifications
· Basic knowledge of commercial flooring products and estimating (preferred)

· Project Coordination: 1 year (Required)
