The ideal candidate will be a self-starter, capable of providing exceptional remote administrative support to ensure our operations run smoothly. Although this is a remote position, you will be supporting our team based in Beverly Hills, California, United States, so the ability to align with corresponding business hours is essential.

Responsibilities

• Managing diaries and organising meetings and appointments, often across multiple time zones.
• Handling, filtering, and prioritising correspondence, including emails and phone calls.
• Booking and arranging travel, transport, and accommodation.
• Typing, compiling, and preparing reports, presentations, and professional correspondence.
• Implementing and maintaining procedures and administrative systems.
• Liaising with clients, suppliers, and internal staff to ensure clear communication.
• Conducting research and presenting findings for various projects.
• Providing general administrative support as required.

Qualifications

• Proven experience as a Virtual Assistant, Personal Assistant, or in a similar administrative role.
• Exceptional organisational and time management skills with the ability to multitask effectively.
• Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
• Familiarity with online calendars, cloud-based systems, and project management tools.
• Excellent verbal and written communication skills with a professional telephone manner.
• The ability to work independently with minimal supervision.
• A high level of discretion and a strong commitment to maintaining confidentiality.
• A proactive approach to problem-solving and strong decision-making capabilities.
