Job Summary:
Office Administrator
The Office Administrator ensures smooth, professional day-to-day operations by coordinating office systems, ordering supplies and equipment, and providing clerical and technical support to staff. This role includes supporting a workplace that serves individuals with intellectual and developmental disabilities.
Hours: Full Time, 40 hours per week
Location: In-person, Glenwood Springs, CO

Our Mission at Mountain Valley Developmental Services is to encourage and support individuals with developmental disabilities, enhance their ability to live, learn, and work in an independent and inclusive manner, and to educate the community about their contributions and capabilities.
MVDS supports adults and children in Eagle, Garfield, Lake and Pitkin counties with intellectual and developmental disabilities (I/DD). Our work provides life span services for these individuals, their parents and family members, guardians, colleagues at work, neighbors, and friends to promote independence, quality of life, and rights protection.

Responsibilities:
- Reception & Communication: Maintain a welcoming and professional reception area; answer phones and serve as a key communication link across staff and departments.
- Administrative Support: Provide clerical support including preparing reports, correspondence, meeting materials, and “Thank You” notes for donations; assist with mailings and luncheons.
- Office Supply & Vendor Management: Order and track office supplies, equipment, and services; obtain bids and coordinate with vendors as needed.
- Meeting Coordination: Prepare and distribute materials for Board and staff meetings; maintain associated records and ensure executive accessibility.
- Record & File Management: Maintain organized administrative and client files, arrange scanning of records, and ensure regular file updates.
- Billing & Data Entry: Manage billing through Therap, CCMS, and other platforms; generate Early Intervention and FSSP reports accurately and on time.
- Technology Coordination: Act as IT coordinator—troubleshoot and manage the agency’s network, computers, phones, and VPN; coordinate tech support when needed.
- Equipment Oversight: Monitor and maintain office equipment functionality, warranty records, and repair requests; track cell phone usage and adjust plans as necessary.
- Housekeeping Support: Relay supply needs and help manage orders for paper and cleaning products in support of housekeeping efforts.

We Love to See:
- Must have at least two years of college education or four years relevant experience
- Four years of experience in a professional office environment.
We Require:
- A criminal and Motor Vehicle record which meets company standards.
- A valid Colorado Driver’s license.
- Verified legal status to work in the United States.
- Professional demeanor and ability to safeguard confidential information.
- Computer literacy including expert ability in Microsoft Office Suite.
Physical Demands:
- Frequent walking, sitting, and use of hands; occasional standing, bending, driving, and lifting up to 25 lbs.
- Requires full vision, hearing, and communication abilities, regular reading, writing, reasoning, and computer use.
- May involve exposure to verbal or physical aggression; staff receive training to prevent and manage such situations safely.
OTHER REQUIREMENTS:
- A criminal and Motor Vehicle record which meets company standards for approval.
- A valid Colorado Driver’s license.
- Professional demeanor and ability to safeguard confidential information.
- Computer literacy including expert ability in Microsoft Office Suite.
- Work 40 hours per week, Monday – Friday from 8:00am – 5:00pm.
