Hi Net Worth family in Puerto Rico is seeking a new Executive Estate Manager, “EEM,” to oversee their multiple properties, cars, and boats. Locations include San Juan and Culebra in Puerto Rico, and Vermont in the United States. There are six households,13 homes and four boats that will be managed by the EEM. The successful candidate will oversee household staff as well as nautical staff. This person will report to the principals directly and will oversee 1) maintaining smooth operations at all properties; 2) maintenance and capital expenditures at all locations; 3) Hiring, termination, and management of all household personnel and 4) managing the movement of the family when traveling. The successful candidate will live primarily in San Juan, Puerto Rico. Some travel will be required. The job is primarily a nine to five job during the week, with some flexibility required when situations arise. The EEM will report to the Family Office. Demonstrated ability to create standard protocols and procedures for multiple homes so that the experience at each residence and while traveling is held to the family’s standards. Demonstrated ability to create standards of operations across multiple households and implement these standards working with household staff. Work Flow Design Create work flow design for each household and for the movement of principals between residences. House Manual Oversee the creation of house manuals that are standardized across properties. Collection and Management of Receipts and Budgeting Create a system for the collection and management all receipts for household expenditures, working with the bookkeeping system. Reconcile and monitor expenses at all households, working with the family’s accountants. Create budgets for each property. Catalog All Valuables Create a catalog of all valuable items and work with accounting staff to make sure all are properly titled, working with existing software. Internal Staff Supervision: Hire and supervise all maids and household staff. Create systems to handle all staff scheduling. Facilities Management and Supervision of Contractors Supervise all major renovation projects in various locations, interacting with the accounting staff. Supervise the hiring of all external contractors for maintenance and repair issues; oversee contract negotiations and make sure that costs are managed effectively Maintain Cars Coordinate with Security Department the maintenance of all cars for the family. Top Level Entertaining Assist principals and staff with the organization of high end dinner parties and events. Other Tasks Work with the family on other tasks as required.
