ESSENTIAL DUTIES AND RESPONSIBILTIES include the following. Other duties may be assigned.
- Utilize WelcomeHome CRM and admissions database to record all prospective resident and current resident activity, census transactions, and to schedule next steps.
- Update daily census transactions in the master census report.
- Responsible for building readiness: Ensure all first-floor common areas and model apartment(s) have lights on and are in show-ready condition.
- Record all information for custom modifications, and assure payment is received on or before the resident contract signing.
- Walk all available apartments on a weekly basis and submit work orders as needed to ensure they are “show ready.” Update admissions database with “ready” dates.
- Follow-up with housekeeping to ensure apartment turnovers are cleaned within five business days.
- Prepare weekly “Condition of Available Apartments” report and update admissions database with move dates, vacate dates, and ready dates.
- Work in conjunction with maintenance and housekeeping departments to ensure apartments are ready by the scheduled move date.
- Utilizing a checklist, check apartments before the move-in day. Submit work orders for outstanding issues.
- Manage storage locker assignments.
- Manage the vacate process for independent living
- Send vacate letters and checklists
- Follow-up to ensure vacates will be completed within the contractual timeframe.
- Complete walk-through with residents or their designee. In coordination with maintenance and housekeeping, assess any damage that needs to be charged to the resident.
- Responsible for coordinating transfers within independent living.
- Lead the renovation process to include option selection with the incoming resident and coordination with renovation team.
- Walk apartments on renovation list prior to weekly meeting to confirm status of all renovations.
- Prepare welcome-packets and welcome memo to provide to resident on their move day.
- Communicate scheduled moves to resident association and Edenwald staff
- Lead weekly renovation meeting and prepare reports for meeting.
- Handle move-in coordination: move-in day activities, move-in arrangements, parking, storage and cable.
- Provide orientation for new residents to include: Emergency procedures, trash and laundry room use. Ensure residents have all appliance manuals. Provide a post-move community tour.
- Follow-up call within two weeks for any questions or concerns. If needed, personal meeting to confirm new residents understand items introduced during orientation.
- Coordinate with housekeeping to ensure new residents know their laundry and housekeeping days.
- General assistance as needed to achieve overall marketing and sales goals, assist with mailings and special events.
- Assist Marketing Coordinator with greeting and screening visitors and provide information when the marketing director or marketing associate are unavailable. Answer telephone, take messages and reply to questions from staff and prospects.
- Back-up for the marketing coordinator.

EDUCATION AND/OR EXPERIENCE
Requires an Associate’s Degree or three (3) years relevant experience in a similar position. Must demonstrate proficiency in Microsoft Office (Word, Excel, Oulook, and PowerPoint), a customer relationship management system or similar client contact/project management system, and have experience in general office procedures such as filing, mailings, and record retention.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions and policy/procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before small groups.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral or schedule form. Ability to prioritize and multi-task.
