You First Health Systems is seeking an organized, proactive, and solutions-oriented Operations Coordinator to support the day-to-day operations of our growing behavioral health organization.
This is not a traditional administrative role. We are looking for someone who enjoys creating systems, improving processes, developing Standard Operating Procedures (SOPs), and helping leadership build an efficient, scalable organization.
The Operations Coordinator will work directly with the CEO and leadership team to coordinate operations across our Outpatient Mental Health Clinic (OMHC), Psychiatric Rehabilitation Program (PRP), Targeted Case Management (TCM), Applied Behavior Analysis (ABA), and future service lines.

Responsibilities
- Develop, document, and maintain Standard Operating Procedures (SOPs)
- Improve workflows and identify opportunities to increase operational efficiency
- Coordinate employee recruitment, interviews, onboarding, and offboarding
- Prepare employment documents, offer letters, and onboarding materials
- Assist with payroll preparation and employee documentation
- Maintain employee records, credentialing, licenses, and compliance deadlines
- Coordinate projects and ensure tasks are completed on schedule
- Manage calendars, meetings, and executive administrative support
- Organize and maintain company files, templates, and internal documentation
- Assist with quality assurance, audits, accreditation preparation, and compliance activities
- Prepare reports, dashboards, and operational summaries for leadership
- Support implementation of new technology, software, and automation tools
- Collaborate with department leaders to improve communication and operational consistency
- Perform other administrative and operational duties as assigned
Skills & Qualifications Required
- Bachelor's degree or equivalent work experience
- Minimum of 3 years of operations, project coordination, executive support, or administrative experience
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Ability to manage multiple projects and priorities simultaneously
- Proficiency with Microsoft Office and Google Workspace
- Strong attention to detail and problem-solving skills
- Ability to work independently with minimal supervision
Preferred
- Experience in healthcare, behavioral health, or human services
- Experience creating SOPs, workflows, or process documentation
- Experience with recruiting, onboarding, or human resources
- Experience with payroll coordination
- Familiarity with electronic health record (EHR) systems
- Experience using project management software such as Asana, Monday.com, Trello, or ClickUp
- Experience implementing AI or workflow automation tools is a plus
Pay: $28.00 - $35.00 per hour
