Southwest Automated Security, Inc. dba Gates & Controls, a leading wholesale distributor serving the automatic gate, access control, perimeter security, and commercial door industries, is seeking a highly organized, customer-focused professional to join our Corona Branch as an Inside Sales & RMA Coordinator.
This position plays a critical role in supporting customers throughout the warranty and defective product return process while providing inside sales support to professional installers throughout our branch network. The ideal candidate will be highly organized, detail-oriented, and committed to delivering exceptional customer service.

What You'll Be Responsible ForInside Sales & Customer Support
- Assist customers by phone, email, and at the sales counter
- Help customers identify the correct products for their applications
- Process customer orders, quotes, branch transfers, and pricing requests accurately
- Build strong relationships with professional installer customers
- Provide exceptional customer service and follow-up throughout the sales process
- Support branch personnel throughout our company with product inquiries and customer needs
RMA & Warranty Administration
- Take ownership of the company's Return Material Authorization (RMA) program
- Coordinate defective product returns from customers across all company branches
- Communicate with customers regarding warranty eligibility, return procedures, and claim status
- Work directly with manufacturers to obtain return authorizations and warranty approvals
- Advocate for customers when products are near or slightly beyond warranty periods to maximize customer satisfaction
- Ensure timely processing and resolution of warranty claims
- Maintain accurate records and tracking of all RMA activity
- Follow up with customers to ensure defective products are returned promptly
- Coordinate credits, replacements, and repairs with Accounting, Purchasing, and Operations teams
Organization & Process Management
- Maintain accurate documentation and reporting related to RMAs and warranty claims
- Track open cases and follow through until final resolution
- Identify opportunities to improve efficiency within the RMA process
- Work closely with Purchasing and manufacturers to resolve recurring product issues
- Maintain professional communication with customers, vendors, and internal departments
Inventory & Receiving Support
- Assist with receiving and inspection of returned products
- Verify returned items and supporting documentation
- Coordinate shipment of defective products back to manufacturers when required
- Assist with inventory organization and cycle counts as needed
- Help maintain a clean, organized, and professional work environment
Skills & Qualifications
- Strong organizational and time management skills
- Excellent verbal and written communication abilities
- Customer-service-oriented mindset with strong follow-up skills
- Ability to manage multiple tasks and priorities simultaneously
- Proficient in Microsoft Outlook, Word, Excel, and Adobe Acrobat
- Comfortable working in a fast-paced, computer-based environment
- High School Diploma or GED required
- Associate degree or related business experience preferred
- Electrical, mechanical, gate operator, access control, or technical product experience strongly preferred
- Experience with warranty claims, customer service, inside sales, or product returns is a plus
