Pacific Coast Wire and Cable Inc.
Job Description
Inventory Specialist
Department / Reports To
Department: Production & Warehouse Reports To: Brooke Hagopian (Production & Procurement Operations Leader)
Contributor Level: Individual Contributor
Job Summary / Purpose
The Inventory Specialist is the owner of inventory accuracy, organization, and integrity at Pacific Coast Wire and Cable. This role is responsible for maintaining precise records across approximately 800 SKUs and $1M+ in inventory value — ensuring that what is in the system matches what is on the floor, every day. Beyond tracking and counting, this person is the connective tissue between the warehouse, purchasing, and sales: proactively flagging reorder needs to the Production & Procurement Operations Leader, helping sales and operations make confident commitments, and building the processes and standards that keep PCWC's inventory function running efficiently as the company scales. This is a role for someone who thrives on accuracy, takes ownership of their domain, and finds satisfaction in the kind of behind-the-scenes work that makes everything else run smoothly.
Key Responsibilities
Inventory Accuracy & Control
- Maintain accurate inventory records in NetSuite for all active SKUs, ensuring system quantities match physical on-hand quantities at all times.
- Conduct regular cycle counts on a scheduled rotation and full physical inventory counts as required; reconcile discrepancies and document root cause findings.
- Investigate and resolve inventory variances, working with the Production & Procurement Operations Leader and Operations Leader to identify process gaps and prevent recurrence.
- Own bin location assignments — create, maintain, and update bin records in NetSuite to ensure inventory is accurately located and easy to retrieve.
- Monitor inventory accuracy KPIs and report results to leadership on a regular cadence.
Reorder Monitoring & Purchasing Communication
- Track stock levels against established reorder points and minimum quantities across all active SKUs.
- Proactively flag replenishment needs to the Production & Procurement Operations Leader before stockout risk materializes, providing recommended order quantities based on sales velocity, lead times, and current on-hand levels.
- Maintain and update reorder point thresholds as product movement data changes; recommend adjustments based on observed trends.
- Assist with the management of safety stock levels, particularly for high-velocity and long-lead-time items.
Dead Stock & Slow-Moving Inventory
- Identify and maintain a running report of dead stock, excess inventory, and slow-moving SKUs.
- Partner with Sales and the Production & Procurement Operations Leader to develop disposition plans for aged or stagnant inventory, including return to vendor, discount, repurpose, or write-off recommendations.
- Track and report on dead stock reduction progress over time.
Receiving & Put-Away
- Verify incoming shipments against purchase orders for quantity, part number accuracy, and condition; flag discrepancies immediately to the Production & Procurement Operations Leader.
- Ensure received inventory is accurately logged in NetSuite and staged or put away in the correct bin location in a timely manner.
- Coordinate with warehouse staff on put-away procedures, labeling standards, and location accuracy.
Cross-Functional Communication
- Serve as the primary point of contact for inventory-related inquiries from the Sales team — providing accurate, real-time on-hand quantities, expected receipt dates, and availability status.
- Communicate proactively with the Purchasing function (Brooke Hagopian) on stock health, upcoming shortages, excess build-up, and reorder triggers.
- Support Sales and Order Processing with inventory allocation questions, cut-quantity availability, and custom reel or quantity fulfillment data.
SOPs & Process Development
- Develop, document, and maintain Standard Operating Procedures for all core inventory functions: receiving, put-away, cycle counting, adjustments, bin management, and dead stock review.
- Train warehouse staff on inventory handling procedures and counting methods; reinforce standards consistently.
- Identify and recommend process improvements to increase inventory accuracy, reduce waste, and improve efficiency as PCWC scales toward its $20M revenue goal.
Required Qualifications
- 2+ years of experience in inventory control, warehouse operations, or supply chain in a distribution, manufacturing, or industrial environment.
- Experience conducting cycle counts and physical inventories with demonstrated accuracy results.
- Proficiency with an ERP or inventory management system; NetSuite experience strongly preferred.
- Intermediate Microsoft Excel skills — comfortable with pivot tables, filtering, and basic formulas for analysis.
- Strong attention to detail and a track record of maintaining accurate records under real operational conditions.
- Ability to communicate clearly and professionally across warehouse, sales, and purchasing teams.
- Comfortable working in a warehouse/production environment — standing, walking, and counting physical inventory is part of the role.
Preferred Qualifications
- Direct NetSuite inventory module experience (bin management, cycle count workflows, inventory adjustments).
- Background in wire, cable, electrical, or industrial supply distribution.
- Experience building or improving inventory SOPs from scratch.
- Familiarity with reorder point calculations, safety stock methodology, and ABC inventory classification.
- Experience with barcode scanning systems or warehouse management tools.
Core Competencies & Traits
- Commitment to Service: Understands that inventory accuracy isn't just an internal metric — it's what allows Sales to make confident promises to customers and what allows Purchasing to make smart buying decisions. This person serves the entire organization by keeping the data honest.
- Purpose-Driven Work: Takes personal ownership of the inventory function as a critical piece of PCWC's operational foundation. Brings intentionality and pride to count accuracy, SOP adherence, and continuous improvement — knowing that a well-run inventory function directly enables PCWC's ability to deliver.
- Peace Under Pressure: Maintains composure and accuracy during high-volume receiving periods, end-of-period counts, or when investigating significant variances. Approaches discrepancies with methodical calm rather than reactivity.
- Teamwork: Works fluidly across warehouse, sales, and purchasing — sharing information proactively, flagging issues early, and treating cross-functional collaboration as a core part of the job, not an interruption to it.
- Courageous Action: Speaks up when counts are off, escalates discrepancies before they grow, and pushes for process improvements even when it requires changing habits on the floor. Takes initiative on dead stock, reorder flags, and accuracy improvements without waiting to be asked.
- Integrity: Owns counting results honestly — including when the numbers reflect a process problem. Reports variances accurately and without minimizing, understanding that integrity in the data is the foundation of everything this role produces.
Collaboration & Culture Fit
The Inventory Specialist reports to Brooke Hagopian and works closely with Stephen Harris (Operations Leader) on daily floor operations, receiving, and warehouse organization. This role interacts regularly with the Sales team — including Tricia Dodson and Roger Lauricella — to provide inventory availability information that supports customer commitments. The Inventory Specialist also coordinates with the Order Processing Specialist (Vilma Avalos) on fulfillment accuracy and with Kim Meyers on administrative inventory documentation. PCWC values team members who take ownership of their function, communicate proactively, and bring a process-builder mindset to a company that is actively building its operational infrastructure. The ideal candidate is someone who is equally comfortable on the warehouse floor counting reels and at a computer reconciling NetSuite records — and who sees both as equally important parts of the same job.
Compensation & Benefits
- Hourly Rate: $20.00 – $26.00 per hour, based on experience
- Classification: Non-Exempt (hourly, overtime-eligible)
- Benefits: Medical, dental, vision, paid time off, holidays, and other programs per Company policy (see Employment Statement)
Advancement Opportunities
PCWC is a growing company with a clear path toward $20M in revenue, and this role is designed to grow with it. The Inventory Specialist who builds strong foundational systems, demonstrates ownership of the function, and develops cross-functional relationships within the organization will be well-positioned to advance as the team expands. Potential growth paths include:
- Inventory Control Lead — as SKU count, inventory value, and team size increase, this role could evolve to include oversight of inventory support staff and broader supply chain coordination responsibilities.
- Production & Procurement Operations — candidates who develop deep fluency in NetSuite, vendor relationships, and purchasing workflows may have opportunity to grow into expanded operational roles within Brooke Hagopian's department.
- Leadership Academy — PCWC is actively building its internal Leadership Academy as part of our 3-Year Picture. High-performing team members at every level will have access to mentorship, development programming, and a clear path to leadership as the organization scales.
We believe in promoting from within and investing in people who invest in us.
