The first step in the interview process was a phone interview with an HR rep who did not work at the location I was interviewing for. We agreed on a specified 2-hour time window for the phone interview. She missed this initial window and called about 35 minutes after it had ended. I declined the call and we instead set up a new time window for the following day, which did end up working out. The phone interview was about an hour long, with the recruiter going over my background and how it pertained to the position I was applying for. At the end of the interview she said I was a strong candidate for the position and she would pass my materials along to the hiring team, which consisted of the Senior Administrative Assistant and the Executive Assistant. I then set up an in-person interview on location. The day before my in-person interview the HR rep set up a call to go over details of the interview and what the hiring team was looking for. She mentioned the interview would last anywhere from 45-60 minutes, and that I should bring my resume, cover letter, and references. The in-person interview went well enough. I enjoyed speaking to the hiring team and could see myself working in the office environment. The Senior Administrative Assistant mentioned at the time only about 8-10 employees were coming into the office due to Covid and WFH, so the in-person team I would be supporting would be quite small. While I had prepared for a lengthy interview and to go into detail about my work experience, the entire interview lasted about 25 minutes. Neither the SAA or the EA asked for my references, though I gave them at the end. I followed up the next day with a thank you email to the SAA and the EA for having me in the office (after asking the HR rep multiple times for their email addresses without acknowledgement and eventually sending my message to the general office email address). The following week, I was sent a generic email from an automatic address stating the company was going with other candidates whose background more specifically fit the needs of the position. I emailed the HR rep directly to clarify, and at first she echoed this sentiment, but eventually told me I did not have as much experience supporting an office of their size (40-50 employees, despite being told in the interview that only about 10 were coming into the office). I was also told that I did not have enough experience working cross-departmentally, which was never brought up in my on-site interview, otherwise I would have gladly gone into specifics of my experience with that aspect in my previous positions. Overall, there seems to be some poor communication between HR, the hiring team, and the candidates when it comes to the interview process. I enjoyed speaking with everyone I interviewed with, but some aspects of the interview process were a struggle to get clarifying information on that should not have been.
